Auto Curtailing of Hot Desks

It’s a year since our move to 144 Oxford and it’s been great to see so many of you in the building, connecting with your colleagues in a way that was not possible for a long while.

We want to make sure you will always have a desk when you come into the office. To make this work for all of us, we recommend you do the following:

  • Check in – or lose out: It is not enough to sit down at the desk you booked. As soon as you do so, go to Cloudbooking and ensure you actively check in, so that the desk reflects as being unavailable for the period you need it.
  • Be aware of auto-curtailing: Often desk bookings are made and not used, making the desk unavailable for other people. For this reason, we now have an Auto Curtailing function that deletes a desk booking if the user has not checked in at that specific desk (via Cloudbooking) within 30 minutes of the desk booking starting time.
  • Just book the time you need: if you only need a desk for part of the day or don’t end up coming in, do the right thing – cancel your booking.
  • Make it easy on yourself: Follow the steps below to access Cloudbooking, noting that the simplest way to manage your bookings, is to download the Cloudbooking app (CB Mobile) onto your phone.
  • Make a note of the two-week time limit: to help things along, we have reduced the time you can “block book” a desk from a month to a maximum period of two weeks.

There are now more of us in the building, so this has become a necessary measure.

This is a period of change while we all get used to new ways of working. By being more responsible about hotdesk bookings, we make it easier on everyone to enjoy their time in the building and reduce the incidence of desks booked but not used, or booked for long periods.

There are a number of ways to check into Cloudbooking.

Cloudbooking Portal

Step 1

Open your browser and navigate to the Cloudbooking Login Page

You can also access Cloudbooking from the Eureka! homepage, by going to the Working Here tab on the top navigation, then looking for Cloudbooking under Tools

Step 2
Locate your Booking using the My Bookings tab

Step 3
Select the Service as Desk, the View as Today and click on the relevant booking.

Step 4
You can also navigate to your booking using the Desks tab and clicking on the desk that you have booked.

Step 5
Now that your booking is displayed, click on Check-In. A message will appear that you are checked in.

Mobile App

Step 1
Download CBMobile – the Cloudbooking app – onto your mobile. It’s available from the App Store for iOS or the Play Store for Android. When you open the app, the Home Screen will display Upcoming Bookings.

Click on the relevant desk booking.

Step 2
Once the booking has opened click on Check-in. Check-in is completed.

Scan QR code

On each workstation, you will find a QR code sticker which provides yet another way to book a desk. Simply scan the code and you will be given the option to book that desk if it is available, and also to check in.
