What does the 144 Oxford Clean Desk Policy cover?
Now that we have moved to a hot desk open plan environment, it is important that we adhere to the clean desk policy. We won’t be using permanent desks and therefore you must make sure that you are not leaving any of your belongings around the office as other people will be using these desks on the days that you will be working from home.

From day one it is imperative that everyone follows our Clean Desk Policy, which means:

  • NO FOOD is allowed to be eaten at the desk
  • Only closed coffee cups provided can be used for hot beverages brought to your workstation
  • At the end of your work day, you may not leave anything on the desk you were working at; this includes IT equipment, documentation, and any personal belongings
  • Lockers are provided for all personal belongings; however the lockers are not permanent and will be reset in an agreed timeframe. Please ensure you have removed all your belongings before the lockers are reset

Are there any guidelines for working in an open plan office?
We all need to be considerate of the fact that we are sharing space with our colleagues. Please try to adhere to the following:

  • You will be provided with an MS headset, please connect your headset to your computer and use this when having virtual meetings as using your laptop speaker is noisy and distracting for everyone around you
  • Make use of our break-away areas and soundproof booths to take any phone calls
  • Be aware of your colleagues and how you approach them; if people are focused on a task, ask if you can speak to them and do not just interrupt
  • Walk up to people’s desks to chat with them and avoid speaking across the room or other workstations

Workspaces and productivity zones

There are a wide range of dedicated workspaces, with everything from shared zones that offer various internal meeting rooms, flexi and social zones, as well as connect zones where employees can come together to collaborate, creatively problem solve and build companionship.

There are soundproof booths for deep thinking, pause areas, talk pods, work cafes, as well as a variety of meeting rooms, providing the perfect spaces to interact, meet with your team or focus on the work at hand. These provide spaces for specific tasks and productive areas to drive efficiency, innovation and performance.

What is a Shared Zone?
A space that accommodates a range of different sized internal meeting rooms, available for use by all employees. These internal meeting rooms are for internal use only and will run on a centralised booking system. Clients will be hosted in a dedicated client meeting suite on the ground floor.

What is a Connect Zone?
A space where employees can come together and collaborate, supported by a number of different types of informal meeting setups and ranges of technology.

What is a Flexi Zone?
A space designed for employees who are moving from place to place connected by wireless data and smart devices. These employees may spend some of their day in the building in alternate work areas, in meetings and/or out at operation sites and require a touchdown point in the workplace.

What is a Social Zone?
This area provides a breakout space for employees where they have access to a kitchen to store and prepare food, a coffee bar to get refreshments and seating that accommodates eating and socialising. This space may also be used for informal meetings and collaborative interaction.

Paperless environment
With our move to a paperless environment, we encourage all employees to scan and digitise first and print only when absolutely necessary.
